Position Overview
Reporting to the Human Resources Manager, the Receptionist will be a motivated individual with a can-do attitude and professional demeanor. This position is full-time.  The Receptionist is expected to have the switchboard open and operating promptly at 8:30 AM and throughout the day until 5:00 PM. Relief switchboard coverage will be provided for a one-hour lunch, as well as morning and afternoon breaks of 10 minutes each. The Receptionist provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

Essential Job Functions

Responsibilities:
 
  • Monitor phone switch board and direct all incoming calls in a courteous and professional manner;
  • Assist callers whenever necessary.
  • Greet guests in a professional, friendly, hospitable manner and direct them to the appropriate employee.
  • Manage all conference room schedules.
  • Keep Reception area neat and presentable to the visitors and the employees.
  • Update and keep track of welcome sign in lobby.
  • Receive and sort all incoming mail.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
 
Qualification/Requirements:
  • Excellent phone etiquette
  • Excellent verbal communication skills
  • Punctual
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Should be customer service driven
  • Knowledge of Microsoft Office (Word, Excel, Outlook)
  • Able to multi-task
  • Professional appearance
  • Possession of a high school diploma or equivalent (GED).
  • 6 months to 1 year of relevant experience and/or training, or equivalent combination of education and experience.
